When you use the Portal we also process operational logistics data such as shipment records, origin and destination details, customs documentation, and delivery events. We collect limited technical data (IP address, browser type, log timestamps) to operate and secure the platform.
2. Email Communication Policy
Email Communication Policy: We collect your email address solely for the purpose of providing core service functionality for the FYTCO Logistics Portal. This includes sending account verification links (Double Opt-in), password reset instructions, shipment status updates, customs clearance notifications, delivery confirmations, and critical security alerts. We do not sell your data, nor do we send unsolicited marketing or bulk communications. Our system is integrated with Amazon SNS to automatically process bounces and complaints, ensuring immediate suppression of invalid addresses and maintaining optimal sender reputation.
3. How We Use Your Information
We use your information to: operate, maintain, and improve the Portal; send transactional notifications essential to the service (as described in Section 2); authenticate users and protect account security; provide customer support; and comply with legal and customs-related obligations. We never use your contact details for marketing campaigns, newsletters, or promotional outreach.
4. Legal Bases for Processing
Where applicable law requires it, we process personal data on the basis of contract performance (to deliver the service you signed up for), legitimate interests (to secure and improve the platform), consent (where you have provided it), and legal obligation.
5. Data Sharing & Sub-processors
We share data only with trusted infrastructure sub-processors strictly to operate the service — for example, Amazon Web Services for cloud hosting, storage, and email transmission with bounce/complaint processing, as well as carriers and customs authorities where required to fulfil logistics operations. These providers are bound by contractual confidentiality and security obligations. We do not sell personal data or share it with third parties for their own marketing purposes.
6. Data Security
We apply industry-standard safeguards, including encryption of data in transit (TLS) and at rest, strict access controls via AWS IAM, and regular security reviews. While no system is perfectly secure, we work continuously to protect your information against unauthorized access, alteration, or disclosure.
7. Data Retention
We retain account and logistics data for as long as your account is active or as needed to provide the service and meet legal, accounting, customs, or reporting requirements. You may request deletion of your data at any time, subject to obligations that require us to retain certain records.
8. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, export, restrict, or delete your personal data, and to object to certain processing. To exercise these rights, contact us at admin@fytco.net. Note that certain critical security and account notifications are required for the service to function and cannot be disabled.
